Proposal Software

Automating the proposal process

Are there any good applications for automating the proposal process? Many search engine searches over the past couple of months have only yielded me with web-based software applications. Although a few of the web-based solutions seem like they might adequately do the trick, I am looking for a desktop-based application for Windows/PC. It would be great to find an application tailored specifically to the web designer/development industry, but at this point I think I would be happy with software from just about any industry.

Ideally this software would allow me to build a library of "sub documents" that could easily be dragged and integrated into a new proposal and then re-ordered as necessary depending on the project's requirements. It would have fields for client and proposal info (date, proposal #, etc.) that would automatically populate the final document's cover information (customizable templates like QuickBook's invoice customization would be great).

It would also allow me to brand the printed version of the proposal and generate PDFs (though I could easily print to PDF). I know that the latest versions of Microsoft Office have some pretty advanced features that would probably allow me to program these document integration features with some flexibility, but I want a turn-key software application so that I can continue to concentrate on bringing in new business.

Any help is appreciated!

One of the best packages I have ever seen for this is from Sant Software. Tom Sant is the founder and has written a decent book on doing proposals called "Persuasive Business Proposals: Writing to Win More Customers, Clients, and Contracts"

If you go to Google and type in Sant Software they should be the first result. Their package is called Proposal Master and it does exactly what you want. It has libraries and allows you move pages around and automates the whole process. It will also integrate with some CRM packages, which is how I found about it in the first place. It was one of the first packages in this space and is probably still the best and has been around for at least 12 years or so. It isn't cheap, but it is good.

Thanks for your post. I am familiar with Sant's proposal software. However, it is web-based, and I am looking for a desktop-based software application. I don't like the idea of paying a monthly fee. Maybe this is becomming a thing of the past, but even as a web developer, I prefer desktop-based management tools.

I did finally (and accidentally) come across a PC-based software program called Rainmaker Proposal. It is a relatively simple document management tool. You break down the sections of your proposal into logical pieces (cover sheets, products/services, testimonials, closings, etc.) and store each as a separate document. These documents are then imported into a library which can then be reused. Sections can then easily be added and re-ordered. The program doesn't have the best interface per se, but it gets the job done. If anyone else knows of any better programs, please post them!

Sorry about that, I didn't realize they had gone to a web only model. Last time I checked out the company they had a software package that you loaded on your server (if networked) or desktop (if stand alone) and it had all the features you were mentioning. It is unfortunate if they went to a web only model because I am like you and prefer a desk top package.
