HELP with CRM, email service and booking system for website

Hi all,
I hope this is the right place to post, apologies if not.

I am building a wordpress website for my small business and I am hoping that someone might have some advice on the best plugins/services I should integrate with the site. I have included all my desires below in sections. I am happy to hear any suggestions even if they are only relevant to a particular section.

This is my first website and I am overwhelmed by how many different web tools/combinations of tools that can be used to create a given outcome. I have been googling for days in my research and I have activated/deactivated multiple plugins and setup free accounts with various services but I am no closer in finding the best option for what I want. I am also happy to pay for the right service/services if the price is right and I get the functionality I need without needing an extra 15 plugins to pay for.

I finally had a good idea which is to look for help on the forums. So, here’s what I am hoping to achieve, hopefully I can be pointed in the right direction..

My website is for a small business which carries out energy efficiency surveys on houses. For comparisons sake, we can say it is similar to a domestic plumber service. What I want my website to do is as follows:

1.The form on the website

1.1Client fills out a form which calculates a price based on selected parameters. (I have built this form on elementor pro and I bought the dynamic content plugin so that I could input formulas to do the calculation. Frustratingly the calculator was not included in elementor pro without the additional plugin. This subscription can still be cancelled if better solutions are presented)

1.2When the client submits the form they will receive an email with the calculated price and a link to my online booking system. I am currently using squarespace/acuity for bookings but this can be changed if better alternative is found

1.3When the client submits the form I want the CRM that my form is connected with to create a new contact in the software. I want the information that was put into the form to be recorded as additional info on the CRM for this new contact. In particular I want to record the price of the job and the address of the property. I have explored hubspot but it looks like some of the features that I might want in regards to email automation are only available in pro version for $800 a month. No thanks. I also tried sendinblue but the parameters that were recorded to the CRM via the mailoptin plugin were limited to email and names, so I could not automate inputs for location, services required and price.


2.The booking system.
As mentioned I am already using squarespace scheduling/acuity but willing to change

2.1Client follows the link in the quote email to booking page, makes a booking and pays a deposit.

2.2Client receives a confirmation email and has facility to change/cancel appointment through email link

2.3Client receives sms & email reminder notifications in advance of appointment

2.4The booking software sends me an email notification that a booking has been made and creates an appointment in my calendar and an invoice in my accounting software. I use quickbooks and this is very unlikley to change. squarespace does all the above but might not be fit for purpose in regards to interacting with CRM, see below.

2.5The booking software is also connected to the CRM and records who is booked and for when. All details recorded during the booking process are copied into CRM.

Is it possible for the CRM to match a quote form with a booking form and see that they are from the same person? I have found that I get a lot of business through follow up emails and it would be great if I could automate this process and chase up anyone that didn't book. hopefully there is a smart way to do all this?

3.Email service and tracking

3.1I want to be able to track the number of quotes issued by the email form and also be able to separate this information into categories based on location, services required and cost of the job.

3.2I want to be able to see who is getting a quote and continuing to book. I also want to see who is getting a quote and not booking. Then I want to be able to compare the data from completed bookings against the numbers of quotes issued. In this comparison, my main goal is to try and figure out what a good market price is for the services, hence the need to be able to compare accepted quotes against ignored quotes.

3.3 As described in 2.5, I want an automated system that will email potential clients, that did not complete a booking, to receive a reminder notification that they can book with me. Ideally this would be in conjunction with the booking system and will only send emails when I have availability as opposed to sending them notifications but there is no availability.

There are probably more tools that I will want but this is more than enough for now. I don’t expect that an all in 1 solution exists for me, but here’s hoping. Otherwise, I am happy to glue various affordable plugins together to see how close I can get to the results I am looking for.

Apologies for the delay. Weekends can be slow and I needed to move this to the WordPress forum where you are more likely to get useful responses. We don't generally recommend specific plugins, such threads tend to attract drive-by spammers. We do recommend that any plugins you ultimately decide to use are from the WP Plugins repository, those are kept up to date and less susceptible to vulnerabilities. Our suggestions are in the Charter for this forum: [webmasterworld.com...]

It sounds like you will expect to have a system to take orders and payments and be able to manage your client base. There are a few ready-made eCommerce platforms that can be integrated with WP. A few popular such products are WooCommerce and Magenta. These have been around long term and are commonly used for payments and CRM.

I would not suggest trying to make disparate plugins do the job because if/when something is updated another part might not be usable. Best to work with tools made to work together.

Avoid using any more plugins than you really must have. When something changes, (like your WP version is updated) they can stop working.
